City of Kingston increased oversight across all controlled documents, ensuring they remain current, accurate and up to date

The Solution

The FYB DocUControl leverages Micro Focus Content Manager to deliver a seamless and efficient solution for the publication of quality documentation such as policies, procedures, maps, drawings and work instructions to your intranet and website.

About the Council

The City of Kingston is home to beautiful beaches, world-class golf courses, bushy reserves, tranquil wetlands, bicycle and walking trails. The council is located in the middle and outer southern suburbs of Melbourne, approximately 20km south of the Melbourne CBD.

  • Existing “Policy Portal” providing access to all Organisational Policies and Procedures had become outdated and unreliable with repeated periods of being offline and unavailable
  • Rectifying issues and bringing the “Policy Portal” back online was proving more difficult with each issue
  • Staff (end users) were experiencing a lack of confidence in the search tool as it had become unreliable
  • Administrators had a convoluted and awkward process to make nominated documents available and searchable from the internal “Policy Portal”
  • Ensuring all staff had access to Policies and Procedures in a simple and easy manner without the need to have a CM User Login/Licence

Using FYB DocUControl has:

  • Ensured all staff have access to organisational wide Policies and Procedures regardless of their Content Manager experience or the need for a User Login/Licence
  • Improved searching capabilities, providing easier access to Policies
  • Increased oversight across all documents, ensuring Policies remain current, accurate and up to date

Knowledgeable and simple approach, where the FYB Project team took control of the implementation, providing regular communication and updates. FYB were responsive and supportive ensuring all questions were answered and issues were resolved efficiently.

“Greater monitoring and reporting provided improved oversight of our Policies, including their review dates for system Administrators and Governance staff”

Chris Vincent, Team Leader Corporate Information, City of Kingston
